📈Microsoft Excel 2016 Spreadsheet Layout and Design🤓
When you start building spreadsheets with hundreds of columns and rows it can be confusing to understand what you are looking at. In this video we will show you a few simple tricks that will help you simplify your spreadsheets and make them easier to read.
Most spread sheets will have a constant which is a column or row that contains the same number. This could be an hourly rate for example that you are using to calculate employee wages. In this case you could set up a rule that will allow you to remove that column while still making the calculations. The added benefit of this is that you will be able to make adjustments to that number by changing it in one place rather then every cell. This will save you time and make the spreadsheet easier to read.
In addition to removing unnecessary information you can make a lot more sense of a spreadsheet by applying some color coding and highlighting to information that is important. Sometimes it also helps to remove the grid lines if you are making this spreadsheet for a presentation.
Finally we will show you how to lock this information in place so that it can only be changed by an administrator. This is vary useful if there is only one person who understands how the spreadsheet works. Changing the wrong information could upset how the entire spreadsheet works.

Hello again and welcome back to our course on Excel 2016 Advanced.
In this section we’re going to take a look at LOOKUP and Reference functions. And in particular we’re going to start looking at LOOKUP functions. And as the name implies what we do with a LOOKUP function is looking up a value in some kind of index or a list and using the returned or identified value.
Now I’m going to demonstrate first a very, very simple LOOKUP function which is the Choose function. It’s really quite limited in what you can do but it’s a very easy function to use and you may well come across situations where it does the job for you.
So by way of a very straightforward example of this let’s suppose that I have some responses to some survey types of question. And people give a numeric response in the range one to five. And each of those numbers corresponds to a phrase. And in a particular situation I want to not only show the response as a number but also the phrase that it’s equivalent to.
Now the way that I can do that in this case, I’m going to put the phases in column D is to use the Choose function. Now I can either start typing =CHOOSE or I can go to LOOKUP and Reference and there is the Choose function. And first of all, first argument, is the index number. So this is the number that we are going to look at and use as the basis for our choice. Now for D3 the number I’m going to be looking at is the number in C3.
The next argument is the value I’m going to put into D3 if the value in C3 is one. It always starts at one. So I’m going to say that one corresponds to strongly agree. Now I put in the next value. A value of two corresponds to agree. A value of three. Now I can have up to 254 values there. So at the moment I put in five values, which means in this case that I can accommodate numerical values in C3 from one to five.
Now all the time that there is nothing there then I’m going to get an error message, in this case #VALUE!. I’ll come back to that in just a moment. Let me now put a number in there, 2. That’s agree, 4. Now as you can see that’s pretty straightforward. Now Choose always works with positive integer values starting at one on a continuous scale. If in fact in the response there I put something like 3.6 what Excel 2016 does is to round that down and it will give me the equivalent of if I’d put three in there. I need that to be a little bit wider.

Welcome back to our course on Excel 2016 Advanced.
In this section we’re going to look at functions for forecasting.
Now very often when we’re talking about forecasting we’re going to be talking about looking at what is going to happen based on what has happened so far. But also the functions that we’re going to be looking at can work in a more general sense as well. And I’m going to look at that more general sense in this first section because I want to look at a few of the most commonly used function without implying that these functions are only used in relation to things that change with time. Having said that, quite a few of the examples that we’re going to look at will involve variables that change over time.
So let’s start off in a fairly general sense. I’ve got here in columns B and C some values of two variables, X and Y. And if it helps you to think of the contents of column B as the months of the year and the contents of column C as say sales in a store of a particular object then that’s probably quite a good way of thinking of those two columns of figures.
And just to give you a good idea of what I mean by forecasting the question is this. Given those values in X and Y what value of Y would I get if X were 13? Now you might look at the figures in column C and say, “Well I don’t really know.” The values of Y tend to be going up but they don’t go up in a sort of straight and even fashion. And what we need to do is to find a function which will predict, forecast, a value of Y when X is 13.
Now there are many possibilities here and what I want to do first of all is explain what I mean by independent and dependent variables. And in this instance X is an independent variable and Y is a dependent variable. What we mean by that is that X is something that we can control or we can measure directly or we can predict absolutely. So I didn’t have any trouble putting 13 in B15 because X, the independent variable, the one that doesn’t depend on something else is clearly progressing in an even fashion. 1, 2, 3, 4, etcetera. Whereas Y is not proceeding in an even and predictable fashion.
Now there may be some dependence of Y on X and certainly it appears to be the case that as X get bigger Y gets bigger but it doesn’t necessarily mean that the increase in values of X is causing the increase in values of Y.

Hello again and welcome back to our course on Excel 2016.
In this section, we’re going to take a look at Help and there is actually a lot of very useful help available when you’re using Excel 2016 but virtually all of it is online help which means you do need to be connected to the internet in order to take advantage of the help.
Now first of all very simply to access the Help system you will normally see somewhere around about the top right hand corner of the screen a little question mark icon, Microsoft Excel Help, takes me into Help.
Now the Help system is a browser-based system. So it runs in a little web browser. As you can see there Excel 2016 Help little Search box. I’m just going to make that a little bit bigger.
Now let’s suppose I want help on Series Fill, something that we did a little bit earlier on in the course. Type the term in there, click on the little Search button and it comes up with a number of topics related to filling data automatically in worksheet cells. I go to the first one. It takes me to a Help page. What do you want to do? It gives me a list of all the things I might want to do in relation to Series Fill. If I choose one of those it will either take me to a point on this page or sometimes to another page within the Help system. And then I can use the Browse buttons to go backwards and forwards through the available help.
There is a Home button that takes me back to the Help home. There is a Print button where I can print a particular Help topic and there’s also this button which will give me larger text on Help. So if you have a problem reading to Help of a particular size, let’s try that Series Fill again. At the larger size all of the help appears larger and then of course I can shrink it down again if I want to.
So that’s the basics of using Help in Excel 2016. When I finished using Help I can click on Close.
Now there is a keyboard shortcut for bringing up Help in Excel 2016
and you use the F1 key. So let me press the F1 key now and that’s an alternative way of bringing up Excel 2016 Help.
So let’s see what happens now if I try to get help when I’m not connected to the internet. I’ve disconnected. I’m going to click on Help and the message I get is: Help is only available online. If you’ve used an earlier version of Excel there was always some kind of offline help available but there is now virtually nothing available with Excel 2016. So you really do need to be connected to the internet in order to get any significant amount of help.

Overview:
1. In this video we start off with a brief explanation of what the VLookup and HLookup functions work, and how they differ from each other. Namely, the Vlookup function searches a vertical list for a specific value and will return the value from an adjacent cell in another column. The HLookup on the other hand searches a horizontal list for a specific value and will return the value from an adjacent cell in another row. Keep in mind that they are one directional and VLookup only works top to bottom and HLookup right to left.
2. We then jump into the equations used in the VLookup and HLookup functions by opening the VLookup formula window and going through each of the arguments one by one.
3. We then jump into some practical examples and use the VLookup to find the age and savings of individuals by using the VLookup function.
4. The Range Lookup argument in the VLookup and HLookup formulas create a lot of confusion for users and so we discuss in detail how this works. It is key to note that if the range lookup argument is left blank then Excel will assume that your list is in order and will return the closest match.
5. And finally we look at some comman errors that pop up when using the VLookup and HLookup formulas. The #N/A error (value not available error) tells you that the item you are searching for is not on the list or possibly that you have left the Range Lookup blank when you shouldn't have.
The #REF error (invalid cell reference) appears when you enter an index number (the row or column you want the value from) that is larger than the size of your range.
And finally the hardest error to spot. If you leave the Range Lookup blank when you actually need an exact match you may not get an error indicator but you may get the wrong information. This is very difficult to pick up and so you need to assure that you enter 0 for the Range Lookup when you need to.
